Practice Policies
Our Commitment to You
Welcome to AMANI Aesthetics.
We are committed to providing a modern, elevated experience centered around patient safety, thoughtful care, and exceptional service. Our practice policies allow us to respect your time, protect the time of our providers and team, and maintain the integrity of your care.
We kindly ask that all patients review our policies prior to scheduling.
By scheduling or purchasing services with AMANI Aesthetics, patients are responsible for reviewing the policies presented during the applicable booking or purchasing process. Certain policies may also require separate written or electronic acknowledgment.
Treatment-specific informed consent, medical documentation, and financial agreements are separate from these general practice policies.
We appreciate your understanding, trust, and respect.
1. Booking + Deposits
A deposit is required to reserve appointment time at AMANI.
Standard appointments require a $100 deposit.
New patient consultations require a $250 deposit.
Your deposit is applied 100% toward the applicable service or treatment total when your appointment is completed as scheduled. If you are pre-booking, this deposit is rolled over to your next appointment with us.
Deposits are not redeemable for cash. Eligibility to transfer a deposit to a rescheduled appointment is subject to our cancellation and rescheduling policy below.
An appointment is not considered fully reserved until all required booking information and the applicable deposit have been received.
2. Cancellations + Rescheduling
We understand that life happens and schedules can change. If you need to cancel or reschedule, we kindly require at least 48 hours’ notice before your scheduled appointment.
When at least 48 hours’ notice is provided, your eligible deposit may be transferred to your rescheduled appointment.
Cancellations or rescheduling requests made less than 48 hours before your appointment will result in forfeiture of the deposit associated with that appointment.
A new deposit will be required to reserve another appointment.
This policy allows us adequate time to offer the appointment to another patient and protects the time specifically reserved for your care.
3. No-Shows
An appointment is considered a no-show when a patient does not arrive for a scheduled appointment and has not appropriately notified the practice.
No-shows will result in forfeiture of the prepaid appointment deposit.
A new deposit will be required before another appointment can be scheduled.
Patients with repeated no-shows or late cancellations may be required to prepay 100% of future appointments before being placed on the schedule.
Repeated violations of our scheduling policies may result in restricted scheduling or dismissal from the practice when appropriate and consistent with applicable professional obligations.
4. When AMANI Needs to Reschedule
We make every effort to honor your scheduled appointment time. Occasionally, provider illness, family emergencies, severe weather, equipment issues, or other unforeseen circumstances may require AMANI to reschedule an appointment.
If AMANI initiates the cancellation or rescheduling, your eligible deposit will remain available and may be transferred to your rescheduled appointment. You will not be charged a cancellation or no-show fee for a cancellation initiated by our practice.
We appreciate your understanding when circumstances outside of our control arise.
5. Financial Policies
Payment
Payment in full is due at the time services are rendered unless another arrangement has been approved in advance.
We accept approved forms of payment available through the practice at the time of purchase, including cash and major credit and debit cards.
AMANI Aesthetics is a self-pay practice and does not currently bill medical insurance.
We do not currently accept HSA/FSA payments. We also accept different forms of financing including Affirm, Klarna and Cherry Finance.
6. Refunds + Final Sales
Due to the nature of medical and aesthetic services, completed treatments and services are final sale.
Fees for services that have already been rendered are non-refundable.
Prescription medications, compounded medications, injectable medications, opened skincare products, and other products that cannot safely or legally be returned are final sale.
Deposits are governed by the booking and cancellation policies stated above.
Nothing within this policy is intended to eliminate any rights or remedies that may be required by applicable law or a separate governing agreement.
7. Retail Products
We want you to feel confident in the products selected for your skin.
Eligible retail products may be exchanged within 14 days of purchase when they are unopened, unused, in their original condition, and accompanied by proof of purchase.
Opened or used skincare products are not eligible for return or exchange unless otherwise required by law or an applicable manufacturer program.
Prescription products and medications are not eligible for return.
8. Promotions + Special Pricing
Promotional pricing, event pricing, package discounts, membership benefits, rewards, referral credits, and other special offers are subject to the specific terms provided with the promotion.
Promotions may include expiration dates, eligibility requirements, treatment limitations, quantity limitations, or exclusions.
Unless expressly stated otherwise:
Promotions cannot be combined with other offers, have no cash value, and cannot be retroactively applied to previously purchased or completed services.
9. Financing
Third-party financing options may be available through participating financing companies offered by the practice.
Patients are encouraged to apply and receive approval before their appointment when financing will be used for treatment.
Approval decisions, financing terms, payment schedules, interest, disputes, refunds, and other financing obligations may be governed by the patient’s separate agreement with the financing provider.
AMANI does not control the approval decisions or lending terms established by third-party financing companies.
Financing approval does not guarantee medical eligibility for treatment.
10. Guests + Children
Our goal is to maintain a calm, private, safe, and elevated environment for every patient.
Patients may bring one guest into the treatment room when appropriate.
For certain medical procedures, treatments, or clinical circumstances, guests may be asked to remain in the reception area.
Children must be accompanied and continuously supervised by a responsible adult who is not simultaneously receiving treatment.
Children may not be left unattended in the reception area, treatment rooms, or elsewhere within the practice.
11. Pets + Service Animals
While we love animals, pets are not permitted inside AMANI Aesthetics in order to maintain an appropriate medical, sanitary, and safe environment.
Service animals are welcome in accordance with applicable law.
AMANI follows applicable requirements regarding service animals within healthcare settings. Access to specific clinical areas may be subject to legitimate health and safety requirements permitted by law.
12. Privacy + Clinical Photography
Protecting patient privacy is important to us.
Clinical photography may be recommended or required for medical documentation, treatment planning, comparison of treatment progress, and continuity of care.
Clinical photography used as part of your medical record is separate from authorization to use your image for marketing, advertising, social media, or other promotional purposes.
Patient photographs or videos will not be used for marketing purposes without the applicable authorization.
13. Professional Conduct + Respect
AMANI Aesthetics is committed to providing a professional, modern, respectful, and safe medical environment.
We ask that patients, guests, providers, and team members treat one another with courtesy and respect.
Threatening, abusive, discriminatory, harassing, sexually inappropriate, intimidating, aggressive, or disruptive behavior—whether verbal, written, electronic, or physical—will not be tolerated.
When appropriate, AMANI may decline or discontinue non-emergent elective services, restrict future scheduling, or terminate the patient-practice relationship in accordance with applicable professional and legal obligations.
Threats of violence or behavior presenting an immediate safety concern may be reported to appropriate authorities.
This policy does not prevent patients from asking questions, expressing concerns, requesting clarification, or making a good-faith complaint regarding their experience or care.
We welcome respectful communication. If you have a concern, we encourage you to contact our office directly so that our team has an opportunity to appropriately review and address it.
14. Fairness + Policy Enforcement
Our policies are designed to be applied consistently and fairly.
While we deeply value our loyal and returning patients, established policies are not waived solely based on length of time with the practice, frequency of visits, or previous purchases.
Certain exceptions may be necessary because of medical necessity, patient safety, applicable law, extraordinary circumstances, or the professional judgment of the practice.
AMANI reserves the right to periodically update its administrative policies as the practice, services, technology, and applicable requirements evolve.
When a separate signed agreement, treatment consent, financing agreement, package agreement, or other specific written policy applies to a particular transaction or treatment, the applicable terms of that agreement will also govern.
